Web App Development Proposal Template

A web app proposal has to make an uncertain build feel manageable. This template starts with paid discovery and a clickable prototype, then builds the MVP in two-week sprints the client steers, and is clear about hosting and third-party costs, ownership, and support after launch.

Thank you for considering [Company Name] to build your web app. This proposal covers what we heard, how we'll get from idea to launch, what it will cost, and three ways to work together.

What We Heard

[Summarize the product, for example: a customer portal where your clients book services, track job progress, and pay invoices, replacing a mix of email, spreadsheets, and phone calls.]

How We Work

1. Discovery and prototype (3 weeks). Workshops with your team and a few users, user flows, and a clickable prototype of the key screens. It ends with a technical plan and a confirmed estimate for the MVP.

2. MVP in two-week sprints (about 12 weeks). Each sprint starts with planning, where you choose the most important features from the backlog, and ends with a demo on a staging site you can try yourself.

3. Testing and launch (2 weeks). Testing across browsers and devices, security and performance checks, and a launch to your production hosting.

4. Support. After launch, we fix defects in our work for 30 days at no charge. Ongoing improvements are available on a monthly retainer.

What You Provide

  • A product owner who can make decisions and attend sprint planning and demos
  • Access to a few customers or users for discovery and testing
  • Content, brand guidelines, and any existing systems we'll connect to

Ways to work together

Discovery is a fixed fee. Development is priced by the sprint, so you decide how far to take the MVP. Each option includes everything in the one before it.

Discovery workshops and user research$4,000.00
Clickable prototype of key screens$6,000.00
Technical plan and MVP estimate$2,500.00

Hosting and Third-Party Services

Hosting, databases, email delivery, payment processing, and other third-party services are set up in your name and paid by you directly. For an MVP, we expect these to cost about $150 to $400 a month at launch, depending on usage. We'll confirm the services and costs in the technical plan.

Changing Priorities

The backlog is yours to reorder at every sprint planning. Swapping one feature for another of similar size costs nothing extra. If the MVP needs more sprints than planned, we'll agree on them with you before starting. Other work outside this proposal is billed at $125 per hour, quoted before we begin.

Ownership

Once paid in full, you own the code we write for your app and the designs we create for it. Open-source and third-party components remain under their own licenses. We keep our general tools and know-how, and grant you a perpetual license to use any of our own code included in your app.

Payment Terms

50% of the discovery fee is due on signing and 50% on delivery of the prototype and plan. Each development sprint is invoiced when it starts. Testing and launch are invoiced at launch, and the support retainer at the start of each month. Invoices are due within 15 days.

Ending the Project

Either party may end the project with 14 days' written notice. You pay for work completed to that date, and we hand over the code and designs you've paid for.

Acceptance

Frequently asked questions

Why start a web app project with paid discovery?

Discovery turns an idea into a prototype, a technical plan, and a realistic estimate. It lowers the risk for both sides, and the client can take the prototype and plan elsewhere if they choose.

What is an MVP?

A minimum viable product: the smallest version of the app that real users can use and give feedback on. Building it first means the next features are guided by how people actually use it.

Is this web app development proposal template free?

Yes. Read and copy the full text on this page, or edit it online and see it as your client will. When it's ready, start a free Clientary trial to send it or download it as a PDF.

Has a lawyer reviewed this template?

No. It's a general starting point written by Clientary, not legal advice, and it hasn't been reviewed by a lawyer for your situation or the laws where you and your client work. Have your own counsel review it before you use or sign it.
